Online booking on your website: how it works, who it pays off for, what it costs

Booking by phone has one property that is hard to defend: it only works while somebody is there to pick up. Someone who wants to book a table at half past ten in the evening will not call in the morning. They will call somewhere else.

Below: what booking on a website has to do, why confirmation is handled through Telegram, what really drives the price, and when none of it is needed.

Need a new website?

A company site, an online shop or a booking system. Most projects ship within 15 working days.

What booking actually solves

Not "being modern". It closes three specific losses.

Calls outside working hours. Most bookings happen when the thought occurs: in the evening, at the weekend, during a break. Nobody is answering the phone then.

Staff time. Every call is interrupted work. In a salon that means a client in the chair waiting while you deal with somebody else.

Double bookings. A spreadsheet two people write into will sooner or later produce two customers for the same slot. It always comes to light at the worst possible moment.

A real example: at Biliardovňa online table booking replaced phone calls, and bookings through the site grew after launch. Not because people suddenly wanted to play more, but because booking became possible at the moment they thought of it.

What booking has to do

The list is short, and every item has a reason.

Show real availability. Not a "tell us when suits you" form, but availability. The difference is whether the customer gets an answer immediately or only after you call back.

Check availability on submission, not on page load. The detail that decides everything. If the system verifies a free slot only when the page opens, two people with tabs open will happily book the same one.

Send the customer a confirmation. An email or SMS with the time and address. Without it people ring to check the booking went through, and the saved call comes right back.

Allow cancellation. It sounds against your interests, but the opposite is true: a cancelled slot can be sold again, an uncancelled one is simply empty.

Work on a phone. More than half of bookings arrive from mobile. A calendar where you have to hit a small number with a finger is a lost customer.

Why Telegram rather than another panel

Seemingly a technical detail, in fact the most important decision in the whole project.

The usual solution: the booking lands in an admin area, staff log in and confirm. Sounds sensible. In a small business it does not work: anything that requires logging in somewhere separately does not take root. Between two customers there is one minute, not ten.

What does work: a message arrives in Telegram, which staff have open anyway. One tap confirms it and the slot closes on the site by itself. That is exactly how booking works at Krása štúdio OK: no spreadsheets, no double entries.

The practical test is a single question: do you have logic the ready service does not?

  • several resources booked at once (a table and equipment),
  • slots that depend on each other (cleaning between customers),
  • pricing that changes by day or hour,
  • booking that has to know about stock or accounting.

If none of that applies, a ready service is a sensible start. If any of it does, you will hit the ceiling before the saving pays back: the same reasoning as in WordPress or a custom build.

If customers should see their bookings and change or cancel them without a phone call, booking grows into a client portal on your website.

What drives the price

Not the number of bookings. These four things:

  1. Number of resources. One stylist versus eight tables of differing capacity are different briefs.
  2. Rules. Breaks, opening hours, holidays, minimum notice, blocking slots.
  3. Integrations. Calendar, Telegram, email, payment gateway, accounting.
  4. Languages. Booking in three languages is three times the copy and the testing.

Prepayment: usually not

The question always comes up, and the answer usually surprises.

Prepayment reduces the number of bookings. In services where the norm is to agree and turn up, demanding payment in advance is a barrier, and some people go to whoever does not have one.

It makes sense where a no-show costs real money: a reserved table in a full restaurant, a long treatment, rented equipment. And even there a deposit is enough, not the full sum. How to connect payments when they are warranted: accepting card payments.

When you do not need booking

Plainly, because it saves money:

  • Few bookings. Five a week are cheaper to take by phone than any system.
  • Every job is different. If the time gets agreed in conversation anyway, a calendar gets in the way.
  • Nobody to confirm. A system where bookings sit unconfirmed is worse than a phone.
  • Nobody finds you. Then the money belongs in the site's visibility, not in booking: start with how to grow website traffic.

Measurement: without it you cannot tell whether it helped

A booking is a conversion and has to be counted as one. The minimum that must work: calendar opened, booking started, booking completed. Only then can you see where people drop out: at picking a time, or later at filling in their details.
